For small Jewish communities across the movements

The problem

Everything is everywhere.

Ask a small congregation where its records live, and you'll get a list.

And the group chat holds whatever didn't fit anywhere else.

Each one works. None of them talk to each other. And the real work of community, marking a yahrzeit, welcoming a new family, noticing who has gone quiet, happens in the gaps between them.

What it does

Everything a small congregation carries, gathered in one place.

Version one does a few things with real care, and the rest we build alongside our founding congregations. Here is the shape of it, and what's on the way.

Hebrew

3 Adar

Gregorian

Feb 20

every year, calculated

Yahrzeits

Yahrzeit dates, calculated correctly every year.

KehillaHQ handles the Hebrew calendar for you, including the cases that trip people up: a death after sunset falls on the next Hebrew day, and an Adar yahrzeit in a leap year has to be placed correctly. The date lands on the calendar each year without anyone redoing the math, and it no longer lives in one volunteer's spreadsheet.

The Adler Household

Members & Households

The core record everything builds on.

A family joins together and renews together. People sit inside Households, the unit a congregation actually thinks in, not loose contacts in a list. Yahrzeits, reminders, commitments, and events all attach to that one record, so the rest of KehillaHQ builds on it.

Building now

Membership commitments

Commitments that keep track of themselves.

Each Household's commitment stays on its record, and invoices go out from KehillaHQ: sent, paid, or a reminder already scheduled. Payment runs through Stripe, and it ships inside your plan, never as a paid add-on. We're building this now, together with our founding congregations.

Who it's for

Built for the people who hold it together.

In a small congregation the software has one real job: give a few busy, devoted people their time back to spend on more important work.

The administrator

often part-time, always essential

You keep the roster and remember who was promised what. KehillaHQ holds that with you, so it isn't all in your head.

The rabbi

clergy wearing the office hat

Walk into shiva, a meeting, or Shabbat knowing the dates are right. The pastoral moment stays a pastoral moment, not a database chore.

The volunteer leader

board members and lay leaders

Hand the next volunteer a working system instead of a folder of files and a lot of "ask so-and-so." What you set up keeps running after your term ends.

And your members? They just get a thoughtful email at the right moment.

Data & security

Your records are safe, and they stay yours.

It belongs to your congregation

Your Members, Households, and dates are your congregation's records, not ours. We never sell your data.

Your own space, your access

Each community's data sits in its own space, and access is role-based for the people you choose.

Encrypted in transit and at rest

Your data travels over an encrypted connection and is stored encrypted on managed cloud infrastructure.

Yours to take, any time

Export everything as clean spreadsheets whenever you want, no permission needed.

And if KehillaHQ ever winds down, you get at least 90 days notice and a full export of your records, so your data is never locked in with us.

Founding congregations

We're early-stage, and we're not hiding it. Here's what founding congregations get in exchange.

KehillaHQ is being built right now, alongside a small group of founding congregations, and we're taking ten. We would rather be honest about that than show you invented testimonials.

A locked founding rate

You join at a lower founding rate, locked for two years, because you help shape the product along the way. If your first month isn't right, we refund you.

White-glove onboarding

We move your Members, Households, and Yahrzeits into KehillaHQ, free. You start on day one with your real data.

A direct line

You talk to the person who builds the product. Questions get answers, not ticket numbers.

A real say

What gets built next comes from what founding congregations ask for and need.

Questions boards actually ask

Something we didn’t cover? Write to us and a person will answer.

What stage is the product at right now?

Early, and honestly so. The core is built: Members, Households, Yahrzeits with Hebrew and Gregorian date logic, and Yahrzeit reminder emails. We're onboarding our first founding congregations now and shaping the rest with them.

We run everything on spreadsheets. Is this for us?

Yes. You are exactly who this is for. Moving from spreadsheets to a real record system is the transition we designed for, and we move your data in ourselves as part of onboarding, free.

We already use membership software. Can we switch?

Yes. Start with an export from your current system, whether that's a spreadsheet, Google Sheets, or another platform. Import reads your columns, maps them, and parses names, dates, and Households. For founding congregations we do the whole move with you, free, and we check it together before you rely on it. If you ever leave, everything exports back out just as cleanly.

How much does it cost?

One monthly price per congregation, based on how many Households you serve. Founding congregations pay a lower founding rate: $47 a month for up to 50 Households, $79 for 51 to 100, and $119 for 101 to 200. Standard rates are $59, $99, and $149. The founding rate is locked in for your first two years, and after that congregations move to the standard rate. Every feature is included, there are no setup fees or contracts, and we migrate your data for you, free.

Is there a free trial, and how do we start?

There is no open free trial. Founding congregations apply, and accepted communities join at their founding rate, locked for two years. We move your data in for you and get you live, and you have a 30-day money-back guarantee: if it isn't right in your first month, we refund you and export your records. We're taking ten founding congregations to start.

Where does our data live, and can we get it out?

Your records belong to your congregation. Each community's data sits in its own space, access is role-based, and you can export everything as CSV any time, no permission needed. And if KehillaHQ ever winds down, you get at least 90 days notice and a full export of your records as clean spreadsheets, so nothing is ever locked in with us.

What about commitments, events, and the religious school?

Commitments are next. We're building membership commitments management now with our founding congregations: invoices from KehillaHQ, payment through Stripe, and each Household's payment history in one place. Events, donations, broadcast email, and school enrollment are on the intake list. Everything ships included in your existing price.

How do you pronounce Kehilla, and what does it mean?

Keh-hee-LAH. It's the Hebrew word for community (קְהִלָּה), and it's what many congregations already call themselves. We named the software after the thing it serves.

Who is behind KehillaHQ?

Tova Soroka, the founder. She's spent more than ten years in operations and design, always focused on helping people build systems that let them do the work they actually want to do instead of fighting their tools. KehillaHQ is that same idea, built for small congregations.
